THE ROLE
Emu Analytics is looking for a Head of Operations (HoO) to lead driving the operational efficiency and success of our company as it grows. Following recent restructuring, this newly redefined role will require you to progress the definition and creation of processes and tasks necessary for streamlined operations.
The HoO will be responsible for overseeing day-to-day company operations, defining and optimising operational processes and plans, and ensuring seamless execution of business operations to support our growth objectives.
Working closely with the CEO, CFO, and CPO (Chief Product Officer), you will be hands-on in owning and managing a diverse array of functions, such as operational administration, human resources, office management, back-office technology, data security, and cloud management. You will directly handle tasks from these areas and oversee the delegation of others where appropriate. Your leadership will be pivotal in ensuring all operational facets align with the company's strategic objectives and in cultivating a high-performance culture across the organisation as it grows.
KEY RESPONSIBILITIES
- Develop and implement operational policies and procedures to maintain and enhance efficiency
- Manage Operational budgeting and financial reporting into the CFO.
- Manage and administer company policies and contracts, ensuring alignment with strategic goals set by the CEO.
- Accurately forecast operational metrics and targets
- Conduct capacity planning to ensure scalable operations.
- Oversee contract management, legal compliance, and risk management, working closely with the CEO and to mitigate potential liabilities.
- Oversee the management and cost optimisation of our developed cloud-based systems and services.
- Ensure the reliability, security, and scalability of cloud infrastructure.
- Collaborate with the CPO to plan for and support cloud-related needs for product and project deliveries
- Ensure reliable and secure back-office technology infrastructure and licensing, coordinating with the CFO on budgetary aspects.
- Management, implementation and administration of our cloud-based internal IT systems and software.
- Implement and maintain robust data security policies, procedures and compliances.
- Monitor and mitigate data security risks, keeping the CEO informed of any significant issues.
- Oversee and manage the office contract and general facilities management to ensure the smooth running of our currently single office operation in a shared workspace.
- Foster a positive and productive work environment.
- Co-ordinate recruitment and onboarding of new employees, in consultation with the CEO and CPO.
- Coordinate HR functions and ensure compliance with company policies, supporting line managers in their direct employee management responsibilities.
- Ensure compliance with UK employment laws and company policies
- Attend and present at industry functions as required.
THE CANDIDATE EXPERIENCE
- 5+ years of operations management experience, preferably in cloud technology start-ups or SMEs, demonstrating proficiency in operational processes and challenges specific to such environments.
- Proven track record in project management, delivering complex projects on time and within budget, with a focus on cloud infrastructure, data security, and operational efficiency.
- Strong financial management skills, including budgeting, forecasting, and financial reporting, with experience managing operational budgets and reporting to senior leadership.
- Expertise in developing and implementing operational policies and procedures to improve efficiency, scalability, and compliance in fast-paced organisational settings.
- Experience in capacity planning and scalability assessments, contract management, legal compliance, and risk management.
- Hands-on management of cloud-based systems and services, ensuring reliability, security, and scalability while collaborating effectively across teams.
- Leadership and communication skills proven to foster a high-performance culture and align operational goals with strategic objectives.
- Proficiency in data security policies, compliance frameworks, and risk mitigation strategies.
- Experience overseeing office management, procurement, vendor relationships, and ensuring efficient office
- operations.
- Familiarity with HR coordination, including recruitment and onboarding responsibilities
- Bachelor's degree in business administration, operations management, or related field preferred, complementing
- practical experience in operations leadership roles
SKILLS
- Proficient in programme and project management, adept in both agile and traditional methodologies
- Excellent planning, organisational, and time management skills
- Leadership and management proficiency, capable of motivating staff
- Ability to successfully manage multiple tasks at once and prioritise accordingly
- Effective communication abilities, both written (documentation) and verbal (inc. presentation skills)
- Financial management and budget control
- Application of capacity planning and forecasting approaches
- Familiarity with fundamental Cloud computing principles, ideally AWS
- Familiarity of back-office and productivity cloud computing software (e.g. Atlassian Suite, MS Office 365, SharePoint, SafeHR or equivalents)
- Hands-on expertise in data analysis, auditing, and monitoring
- Strong general IT skills with the ability to learn quickly and stay current
